EquipmentFlow is a workflow and recordkeeping service, not legal, safety, payroll, tax, inspection, or regulatory advice. Customers should have their own policies and obligations reviewed by qualified professionals.

1. Consent to Electronic Records

By selecting an acceptance, acknowledgement, approval, signature, or similar control in EquipmentFlow, the user consents to use electronic records and communications for the applicable workflow. The user should not complete the action if they do not have authority or do not agree to receive the record electronically.

2. Meaning of an Electronic Action

An electronic acknowledgement, approval, or signature represents the user’s intent to perform that action and may be associated with the user account, timestamp, document, version, company, and available device or network information. It does not independently establish legal compliance, factual accuracy, safety, inspection completion, maintenance completion, or the truth of a submission.

3. User Responsibilities

Users must protect their credentials, use only their own account, review the document or record before acting, and submit truthful and complete information. Customers are responsible for determining which electronic workflows satisfy their legal, contractual, employment, safety, regulatory, and record-retention requirements.

4. Records and Audit Logs

EquipmentFlow may preserve acceptance, opening, approval, signature, and audit events as permanent or retained records. Audit logs assist with recordkeeping but should not be treated as the exclusive or definitive legal record. Connectivity issues, synchronization delays, user actions, clock differences, or system failures may affect audit history.

5. Paper Copies and Withdrawal

A user may request a copy of an electronic record by contacting support. Withdrawal of consent may affect the ability to use workflows that require electronic records; it does not invalidate actions already taken where legally effective. Customers must provide alternative processes when required by law.
