Acceptable Use Policy

EquipmentFlow is a workflow and recordkeeping service, not legal, safety, payroll, tax, inspection, or regulatory advice. Customers should have their own policies and obligations reviewed by qualified professionals.

1. Purpose and Scope

This Acceptable Use Policy (“AUP”) applies to every user, company account, integration, API request, upload, and device using EquipmentFlow. It supplements the Terms of Service. The Customer is responsible for users acting through its account.

2. Permitted Business Use

Customers may use EquipmentFlow to manage equipment and fleet records, coordinate repairs and maintenance, record inspections, prepare JSAs, manage time and receipt records, control personnel access, generate internal reports, scan supported QR and barcode identifiers, and perform related lawful business administration. The Service remains an informational tool and does not replace qualified safety, maintenance, payroll, legal, or compliance judgment.

3. Prohibited Conduct

  • Use the Service to violate law, regulations, sanctions, privacy rights, employment rights, or intellectual-property rights;
  • Upload malware, ransomware, destructive code, unlawful content, or content that creates an unreasonable safety or security risk;
  • Attempt unauthorized access, credential sharing, impersonation, company-to-company data access, privilege escalation, or account takeover;
  • Scrape, harvest, mirror, bulk-export, reverse engineer, decompile, or probe the Service except as expressly authorized;
  • Generate spam, bulk unsolicited invitations, deceptive messages, or communications unrelated to a legitimate Customer workflow;
  • Launch automated attacks, denial-of-service activity, abusive requests, or storage activity that degrades or interferes with the Service;
  • Misrepresent inspection, maintenance, approval, signature, safety, or compliance status using EquipmentFlow records;
  • Use QR codes, APIs, exports, integrations, or reports to bypass access controls or expose another company’s data; or
  • Use AI output, reports, reminders, or records as a substitute for qualified professional review.

4. Content and Safety Controls

Customers must maintain lawful, accurate, and appropriately restricted Customer Data. EquipmentFlow may remove content, limit features, revoke tokens, rate-limit requests, or preserve information when necessary to investigate abuse, protect users, comply with law, or secure the Service. We do not have an obligation to monitor every Customer Data item.

5. Enforcement

We may warn, require correction, restrict features, suspend access, or terminate accounts for actual or suspected violations. Security emergencies may require immediate action without advance notice. Suspension does not excuse payment obligations or prevent preservation of information needed for investigation, legal compliance, or dispute resolution.

6. Reports and Appeals

Report suspected abuse or security issues to support@equipmentflowco.com or submit security vulnerabilities through the security report form. Include enough detail for us to investigate without accessing or changing data you are not authorized to access.
